Records Specialist – MA – Boston

- The global law firm of K&L Gates LLP seeks an experienced Records Specialist for its Boston office. This position, under the guidance of the Local Records Manager or the Director of Administration and the Regional Records Manager, is responsible for any combination of the following:
Perform tasks associated with records department file management process and Firmwide Records & Information Management (RIM) policies, including but not limited to:
Handle on-site destruction in accordance with established firm procedures and/or approved retention policies.
Image records into approved digital repositories under specific indexing guidelines and perform quality control on digital images and indexes created within or outside of the department
Perform relief and/or project duties and responsibilities, which may include assisting with searches, file maintenance activities, file conversion activities, file inventories, etc.
Work with practice group support personnel to help mange large document accessions, help mange large collections housed outside of the central file locations (“war” rooms, work rooms, conference locations, etc.)
Other RIM related duties and responsibilities, as assigned

Perform tasks associated with records department file management process and Firmwide Records & Information Management (RIM) policies, including but not limited to:
- Check records into central records storage location for temporary storage
- Review materials against automated records data to confirm the integrity of the indexing information and communicate with lawyers, secretaries, clerks and paralegals to provide clarification when necessary
- Generate approved labels/barcodes and create files, if required
- Perform daily re-filing, periodic file shifts and automated file audits
- Review materials being prepared for off-site storage and communicate with practice group staff to ensure completeness and consistency of tracking data
- Monitor the destruction of on-site materials in accordance with established procedures and/or approved retention policies
- Perform periodic maintenance projects to transfer closed/identified records to off-site storage
- Monitor and maintain records in off-site storage locations, updating and verifying information as necessary

Knowledge, Skills and Abilities Required:
- 3 years records experience required (law firm experience preferred).
- Computer literate, familiarity and aptitude with automated technologies and legal records systems desirable
- Be accustomed to working as a team member
- Have the ability to work independently
- Be highly detail and task oriented
- Have excellent customer service skills
- Be able to lift up to 40 pounds unassisted
- Have a demonstrated ability to meet obligations with confidentiality, integrity and sensitivity
