Practice Support Specialist – DC – Washington

The Practice Support Specialist, under the direction of the Deputy Chief Knowledge Officer, interacts directly with the attorneys to assess their technological and information resource needs.  The Practice Support Specialist works directly with the Deputy to identify current firm and IRC resources that meet those needs and considers alternative resources as situations arise.  Ongoing marketing, training and support for the IRC resources is the other critical component of this position.  The Practice Support Specialist is part of the Information Resource Center and works together with various members of that department, but has no supervisory authority.  The Practice Support Specialist has similar relationships with members of  Information Technologies and Information Management departments.

ESSENTIAL DUTIES & RESPONSIBILITIES

The Practice Support Specialist serves as a practice group liaison and a point person for the IRC staff and is responsible for assessing their technological needs and then working directly with the Deputy to identify, acquire, or develop resources to meet those needs. 

Specific tasks include:

• Working knowledge of all research database applications and ability to use various library related software and electronic resources.

• Assist in the day to day management and organization of electronic information resources on the firm Intranet.

• Assist in future development and maintenance of the IRC intranet site.

• Develop electronic resource pathfinders and guides.

• Attend practice group meetings as recommended by the Deputy, a practice group director and/or a practice group member.

• Keep current on new products, trends and innovations in the online research marketplace as well as enhancements or changes with our existing online resources.

• Participates in regular product trials and evaluations, assessing the value of the potential purchases and comparing these reviewed tools to resources already available to the firm.

• Meet with individual attorneys to help assess research technology requirements as well as knowledge and content management needs, while also informing them of firm-wide activities and appropriate IRC resources.

• Develop new ways to market new IRC resources and research tool developments.

• Attend regular IRC meetings to discuss projects and cross-departmental issues.

• Provide weekly project summaries to the Assistant Director.

• Assist or manage special projects as determined by the Assistant Director, IRC Director or the Technology Committee.

• Keep current regarding technology applications used by other practice groups by maintaining open communication with other Practice Support Specialists, Information Technologies Services staff, and the Assistant Director.

• Support IRC research technologies and provide demonstrations and training sessions as needed or alternately coordinate vendor lead training events

• Assist in the coordination and training for firm new hires.

• Provide support for corporate electronic filings performed on behalf of clients.

• Facilitate online webinars for attorneys and clients.

• Coordination and support for client extranets.

• And other duties as assigned.

QUALIFICATIONS

REQUIRED SKILLS:
• Excellent communication skills (oral and written) with both technical staff and attorneys.

• Basic understanding of general technology and/or law firm applications.

• Basic HTML skills.

• Experience with conducting presentations or training sessions.

• Ability to work independently, set priorities and handle multiple tasks under pressure.

• Experience with all Microsoft Office applications.

• Flexibility for overtime.

PREFERRED SKILLS
• Experience with Microsoft Sharepoint.

• Experience with an HTML editing application such as Front Page

EDUCATION, CERTIFICATIONS AND/OR EXPERIENCE:
• Minimum: Bachelors degree, or equivalent experience, preferred.

• A Masters in Library Science, or equivalent experience, preferred

• 2+ years relevant legal experience.

• 3+ years total experience as an information professional

OFFICE HOURS (include lunch hours):
9:00 AM - 5:30 PM, Monday - Friday.  Must be flexible for overtime.

Administer and maintain Elite, DTE and ERS systems and their associated programs (Whitehill, Smartqueue); install new software releases and perform system upgrades; evaluate and install patches and resolve software related problems for all Financial Systems software; maintain data files and monitor system configuration to ensure data integrity; perform daily uploads and error handling of time and cost entries into the Elite database from DTE and ERS; setup electronic bill templates as requested; perform month end reporting, provide user support for accounting software and hardware; perform other duties (bill template modification, database modifications, etc.) as requested; familiarity with standard concepts, practices, and procedures within the Accounting field; rely on experience and judgment to plan and accomplish goals. Carlton Fields, an AmLaw 200 firm, seeks an experienced technology manager to oversee the firm's electronic marketing initiatives and manage Carlton Fields' Web site content, design, maintenance, and initiatives.
 
Key Responsibilities:     
• Manage all Carlton Fields internet presences, including firm Web site, Spanish Language Web site, Alumni Web site, and Class Action Blog.
• Manage all firm Marketing technologies, including content management systems, ERM tool, and email marketing tool. 
• Compile, review, and circulate all external, branded mass email communications, including practice alerts and other firm email communications.
• Maintain all firm social media presences including CF Careers Facebook Page, Twitter profiles, LinkedIn presences, and YouTube channel.
• Develop and implement internet marketing channel strategies, including ongoing content management and search engine optimization strategies. 
• Conduct trainings and regularly consult with attorneys on best practices for utilizing the Web for business development.

• Serve as Marketing Department liaison to assigned practice groups.  Provide support for ongoing marketing and business development efforts.
• Work closely with other marketing team members to ensure comprehensive and coordinated execution of overall marketing strategies.
• Oversee job responsibilities of the Web and Print Design Specialist and other Marketing team members. 
 
Employment Standards:
• Bachelor's degree in marketing or a related field and 5+ years of related experience required.  JD or MBA highly desirable. 
• Must have experience with Web site management, search engine optimization, Web analytics, and social media.
• Also must have experience in brand marketing, business to business marketing, or professional services marketing. 
• Demonstrated management and leadership capabilities, strong ability to prioritize and manage multiple projects simultaneously, and effectively able to manage subordinate team members.
• Ability to work collaboratively across all levels. Highly comfortable working directly with internal leadership and stakeholders.
