Help Desk / Applications Specialist

This exempt, full-time position for a dependable, bright, energetic person who would like to work in our busy Information Services Department.

The Help Desk / Applications Specialist is the first level of user support and monitors all incoming calls received on a dedicated help desk line, as well as inquiries that are received via email.  All inquires are entered into an automated ticketing system, and issues are resolved over the phone, desk side or by connecting remotely to the users.  The Help Desk / Applications Specialist position also provides media duplication services and equipment delivery and set-up. The Help Desk / Applications Specialist will also be called upon to assist with training by designing and conducting new hire and specialized software training.

Experience and Education Requirement:
• Thorough knowledge of complex automated information systems management as normally acquired through a Bachelor's degree in MIS, computer science or business administration or in the equivalent combination of relevant education and/or experience.
• Prior law firm experience preferred.
• Technical knowledge of the Microsoft Office suite of applications, with an emphasis on MS Word, as well as firm-based software and other legal specific applications, including iManage, FastSEQ, ChemDraw, Concordance and LiveNote. 
• Technical knowledge of hardware normally acquired through a Certificate, Associates, and/or Bachelor's degree or equivalent in on the job experience.
• Technical knowledge of IT tools including TrackIt, Altiris and Active Directory preferred
• Knowledge of Avaya VOIP telephone system preferred.
• Must have strong interpersonal skills to communicate effectively in person, by e-mail and by telephone. 
• Must be a team player.
• Involves frequent internal contact requiring a positive attitude and pleasant demeanor.
• Ability to recognize and solve problems related to firm software and hardware. 
• Ability to organize and prioritize numerous tasks and complete them under time constraints.
• Ability to conduct training needs assessment related to firm software applications.
• Ability to design and implement training programs and materials related to software applications.
• Project work, as assigned by the manager.
• Work occasionally requires a high level of mental effort and strain when performing under pressure of time constraints.
• Work occasionally requires more than 35 hours in the office per week to perform the essential duties of the position.
• May be required to be on-call in case of problems outside of normal business hours.
• Ability to lift, carry, pull and push up to 50 pounds.

Job Description:
Senior project manager within the department responsible for planning, executing, and delivering firm projects according to strict deadlines and within budget. This includes acquiring resources and coordinating the efforts of team members and third-party contractors or consultants in order to deliver projects according to a defined charter. Interfaces with all affected by the project, including IT business analysts, end users, and firm clients. The senior project manager will also define the project's objectives and scope and oversee quality control throughout its life cycle.
Senior Project Manager is typically responsible for the managing all aspects of multiple highly complex projects / processes. Delivers innovative solutions to business problems.

ESSENTIAL FUNCTIONS:
* Direct and manage project from start to finish. Track project milestones, deliverables, and risk.
* In collaboration with management and stakeholders. Define project scope, goals and deliverables that support business goals
* Develop full-scale project plans and associated communications documents. Plan and schedule project timelines and milestones using appropriate tools.
* Communicates appropriately and in a manner that demonstrates experience and a grasp of the strategic intent of a project.
* Liaise with project stakeholders on an ongoing basis.
* Estimate the resources and participants needed to achieve project goals. Where required, negotiate with other department managers for the acquisition of required personnel from within the company. Provides guidance to assist those making strategic decisions regarding project priorities, staffing assignments and budgets.
* Draft and submit budget proposals, and recommend subsequent budget changes where necessary.
* Set and continually manage project expectations with team members and other stakeholders.
* Delegate tasks and responsibilities to appropriate personnel.
* Identify and resolve issues and conflicts within the project team.
* Identify and manage project dependencies and critical path.
* Proactively manage changes in project scope and devise contingency plans.
* Define project success metrics and disseminate them to involved parties throughout project life cycle.
* Monitor, mentor, motivate project team members and contractors, and influence them to take positive action and accountability for their assigned work.
* Build, develop, and grow any business relationships vital to the success of the project.
* Conduct project post mortems and document successful and unsuccessful project elements. Tracks and evaluates client satisfaction levels.
* Develop best practices, project standards, procedures and quality objectives for assessing progress. Mentors others regarding established project standards and procedures and quality objectives.
* Has a detailed understanding of multiple practice group and/or business areas processes. Uses informal networks, where necessary, to gain an understanding of the firm
* Coaches and mentors less experienced project managers. Provides project management guidance on tools, methodologies, roles and responsibilities.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
* 5 - 7 years experience in a project management capacity, including all aspects of process development and execution
* Bachelor's Degree or equivalent experience
* Project Management Professional (PMP) Certification
* Strong familiarity with project management software, such as Microsoft Project
* Demonstrated experience in personnel management
* Adept at conducting research into project-related issues and products.
