Business Systems Analyst – CA – San Francisco

- General Summary:
The Systems Analyst supports the Corporate computer systems and users to increase operating efficiencies, enhance performance and improve access to information for planning and decision-making purposes. Requires problem solving, analysis, research and troubleshooting ability in a technical environment to diagnose, correct and test issues. The position will work directly with Calendar and Records Management and personnel to provide application support and data analysis for FileSurf and CompuLaw applications.

Essential Duties and Responsibilities:
• Assist with Ad-hoc custom report requests used for managing the daily activities within the Records and Calendaring departments
• Analyze and test programs to increase operating efficiencies or enhance performance of the organization
• Assist with Development, design, testing and implementation of small to medium size software projects working closely with various departments and users within Records and Conflicts Department.
• Assist with developing test plans, and production support procedures for software and systems already in place or in the planning and implementation stages.
• Test fixes and perform post-resolution follow-ups to ensure problems have been adequately resolved.
• Perform Database Administration tasks, monitor and optimize system performance
• Support production applications, primarily backend administration with some desktop application support

Knowledge, Skills and Abilities Required:
• Degree in the field of computer science or information management systems, or 3 years related work experience
• Experience with Calendar and Records applications preferred
• Ability to manage multiple projects, set priorities and meet deadlines
• Proven experience with MSSQL and technical requirements analysis
• 3 years of experience with reporting tools and similar software, including Excel, Access
• Hands on experience with SQL Server 2005, T-SQL, using stored procedures, views, etc
• Excellent analytical and creative problem-solving skills
• Highly self motivated and directed
• Ability to work independently as well in a team environment
• Experience with law firm accounting applications and data a strong plus
• Foresight and ability to anticipate customer and business needs
• Excellent listening, interpersonal, written, and oral communication skills
• Work occasionally requires more than 40 hours per week to perform the essential duties of the position

Sr. Litigation Support Analyst – CA – San Francisco

POSITION SUMMARY

The primary responsibility of this position is to provide project management in supporting the attorneys and paraprofessionals in the use of litigation support technologies and best practices to deliver the highest quality client services.  Direct and assist on larger litigation projects.  This position will be responsible for providing senior level consultative services internally at Reed Smith.

ESSENTIAL JOB FUNCTIONS

Consult and educate case teams on defensible best practices pertaining to the management of electronic evidence (including identification, preservation, collection, processing, and review (linear & conceptual analytics throughout Discovery).
Serve as single point of contact to attorneys and paraprofessionals in the use of litigation support tools throughout the litigation life cycle.
Meet with case teams to determine the complexity and scope of each project.
Determine the necessary resources needed (software, hardware, alternative workspace, vendors, etc.).
Develop recommendations, cost estimates, budgets, procedures, vendor recommendations and specifications for scanning, coding or e-discovery processing.
Manage expectations and develop general timeline for meeting project goals.
Participate in vendor project design meetings with litigation team leads.
Prepare required project documentation to include database design specifications, vendor processing, delivery specifications and metrics reporting.
Write Requests for Proposals (RFPs) to vendors, analyze resulting proposals and make appropriate recommendations to the case teams.
Manage vendors to assure that high quality work product deliverables and services are provided within the negotiated schedules and budgets.
Oversee, coordinate and track project progress and workflow.
Define and manage custom solutions for specialized project needs.
Proactively apply quality management techniques to ensure client satisfaction.
Maintain project files and documentation.
Review and approve vendor invoices.
Provide feedback for meet and confer conferences to our attorneys, and participate as needed.
Provide or coordinate with outside vendor the adequate training to case teams on the proper use of Litigation Support applications.
Provide backup support to Litigation Support Analysts in the creation and maintenance of document and transcript databases in Concordance, Summation, Microsoft Access, iConect, Introspect, Livenote and like litigation support applications. 
Use Reed Smith's preferred vendor listing of equipment rental and litigation support service vendors.
Stay current on litigation support and courtroom presentation tools and technologies. 
Become certified in one of the primary litigation support categories or database technologies (e.g., eDiscovery, Summation, Concordance).
Serve as the point person in resolving issues relating to the supported litigation support tools.
Provide training in classroom settings, with litigation teams and one on one, in the use of litigation support tools.
Provide feedback to enhance department best practices and procedures.
Provide regular status reports to attorneys and Manager.
Provide feedback in preparing annual performance evaluations for the Litigation Support Analysts.
Monitor and document performance problems and assist with metric reporting.
Assist management with department hiring process and provide new hire orientations.
Charge all billable time to appropriate client matters.  A minimum of 1350 billable hours are required per year.

JOB REQUIREMENTS

Education:

College degree in relevant field of study or system-related technical certification required.

Experience:

Five plus years experience managing complex, technically demanding projects, either for a law firm or for a professional services company.  Administrative experience with one or more of the following applications: Concordance, LiveNote, Summation, Microsoft Access, CaseMap,, Adobe Acrobat, IPRO, Opticon, (or other similar viewer), iConect, Introspect, and Trial Director.  Experience with courtroom presentation tools is a plus.  One to two years of law firm experience. One to two years of litigation paralegal preferred.

Skills:

Ability to work effectively with others under short deadlines in high pressure situations.  Ability to exercise independent judgment within broad parameters as determined by the attorneys managing the cases.  Ability to coordinate resources to meet competing demands.  Ability to interact with vendors.  Strong oral and written communications skills.  Posses the ability to act and work independently, be able to handle interruptions, and manage multiple tasks and deadlines.  An ability to understand and follow specific and detailed instructions.  Must display a professional manner with attorneys, paraprofessionals and other staff members.  Must be prompt with good attendance.  Must be able to work with minimal supervision. Working knowledge of personal computers and the Microsoft Office suite.  Familiarity with Citrix and network operating systems a plus.

OTHER

Equipment to be Used:

Personal computer and other office equipment such as telephone, typewriter, calculator, fax machine, duplicating machine and so on.  Must be able to operate desktop personal computers and laptops; printers, scanners, bar code readers, and CD-RWs; trial presentation equipment including projectors and audio equipment.

Typical Physical Demands:

Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, telephones and other office equipment.

Typical Mental Demands:

Able to deal with stress associated with fast-paced work environment.  Multiple priorities/tasks.  Make judgment decisions and adapt to changing work situations with minimal supervision.  Grasp and apply new ideas.  Communicate with various personalities at all levels.

Working Conditions:

Works in a typical office setting.  Occasional travel for one or more days at a time. Carry a pager at all times, on and off hours.  Frequently called upon to work in excess of 40 hours per week., which may include occasional evenings, weekends, and holidays.

Flaster Greenberg, a regional based law firm, has an immediate opportunity for an Application Support Specialist. This position is based in Philadelphia, with occasional travel to the Cherry Hill office and other firm locations, as needed. The ideal candidate should have 5+ years experience working with application software in a Law Firm environment, a solid track record of administering a Microsoft-based server environment, and have the ability to provide a high level of customer service. The Application Support Specialist reports directly to the Information Technology Director.

Major Responsibilities:
The Application Support Specialist is responsible for managing and supporting applications for all firm applications including (Interwoven FileSite, Rainmaker, Citrix, Office 2003/2007, etc.) and assisting end users via helpdesk support functions and general IT tasks.  It is necessary to have an understanding of Desktop/Laptop/Printer/Server hardware configurations, client/server architectures, and LAN and WAN infrastructure components. 

The Application Support Specialist demonstrates the ability to assume responsibility without constant direct supervision, exercises initiative and judgment and makes decisions within the scope of assigned authority.  This person champions and practices cooperation and teamwork as a member of the IT Department to benefit the Firm.  The Application Support Specialist will normally be responsible for the following functions which include but are not limited to:

  • Assist in the ongoing development, implementation, and maintenance of the application environment and procedures with other IT team members.
  • Assist IT staff as needed, desktop and application support as needed, and special IT projects as may be assigned.
  • Strong understanding of the Microsoft Windows desktop and Server platforms, including an in-depth knowledge of Active Directory.
  • Provide 1st and 2nd tier support for server systems and hardware as well as handle a variety of general IT tasks. Be the primary technical owner of this support.
  • Responsible for researching, evaluating, developing, testing, setting and extending the firm's enterprise and function specific software/applications
  • Develop and maintain best practices and documentation of all software/application development, installations, configurations and usage
  • Excellent technical and organizational skills as well as strong documentation skills
  • Participate and contribute to various IT Department projects and initiatives

Other Requirements:

  • Display the technical skills necessary to prepare, transfer and interchange documents using most effective Firm procedures and systems, require minimum review by attorney to assure quality. Understand instructions and require little supervision on more complex tasks, but will seek instruction when needed.
