Stoel Rives LLP seeks a CRM Database & Research Specialist to administer and maintain the Business Development group's client relationship management database (CRM) for all offices. This position will also perform high-level research and analysis of companies, industries and competitors for all offices and practice groups, and enhance the CRM database by incorporating relevant research data into contact records. This position will report to the Client Services Technology Manager and work in collaboration with the firm's CRM Database & Technology Administrator, Business Development Managers, attorneys and Practice Management and Library departments.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES
1. CRM Database Administration
Identify and import data sources. Run daily exports from Elite (the firm's billing system) and import new client data into InterAction (the firm's CRM database). As necessary, import into InterAction new contact lists and data from other sources such as the firm website's content management system and Excel. Manipulate, edit, clean-up and validate imported data.
Create and maintain mailing/working lists. Assist Business Development Managers as necessary with creating and maintaining targeted invitation and mailing lists for firm conferences, seminars, mailings and other communications. Proactively review the various mailing lists and work with the Business Development Managers and their assigned practice groups and initiatives to regularly update mailing lists. Build and maintain strategic working lists for referrals and experts.
Data clean-up. Ensure prospect and client information remains current and accurate at all times. Monitor the InterAction Data Change Management Inbox for records that need to be updated, including clean-up, resolving duplications through merging records, and updating returned mail and email bounce back records. Follow up with attorneys and staff to ensure data is updated and consistent, monitoring and evaluating performance of database by regularly reviewing data and producing ad hoc reports. Use analytic data clean-up tools to proactively maintain data integrity.
Training and Technical Support. Assist in promoting InterAction within the firm, providing ongoing education to the Business Development group, firm practice groups and initiatives on how InterAction can be leveraged to develop new business. Provide assistance and direction on InterAction-related questions to attorneys and staff as needed.
2. Research
Responsible for adding and maintaining in InterAction key information that the firm has identified, such as industry codes, board of director relationships, event attendance, communication subscriptions, etc. Assist with creating competitive intelligence reports and newsfeeds for companies, including but not limited to top clients, competitor law firms, industries, and global economic, political and regulatory events using web based research applications (such as Capital IQ, Monitor Suite and Hoover's), the Internet, CRM, library subscriptions and other relevant research tools. Synthesize information and facts to provide executive summaries of company profiles, industries, executive biographies, and analysis of key transactions, industry trends, recent news and activities, litigation and outside counsel. Profile, monitor and maintain competitors' practice areas and clients. Develop intelligence for responses to RFPs and/or in preparation for business development meetings with existing or potential clients. Incorporate relevant market research data into InterAction.
3. Other
Assist with other projects on an as-needed basis, including serving as a back up to the CRM Database & Technology Administrator when he is out of the office or needs back-up support. This includes being capable of sending out urgent e-alerts or e-vites through Tikit (the firm's InterAction-based email management platform).
PROFESSIONAL/TECHNICAL KNOWLEDGE
• Must have a BA/BS preferably in marketing or business.
• Must have a minimum of three years experience working with InterAction or similar CRM, including understanding basic InterAction concepts such as company association, address sharing, folder linking, global and folder-specific fields, public and private contacts. Must also understand advanced InterAction concepts such as data change management tools, folder dependency analyzer and contact types. Advanced user skills will also be needed to format complex searches and reports. InterAction Matters Module experience a plus. Must be proficient with Excel and data manipulation. Experience using HTML also preferred.
• The ideal candidate should have a working knowledge of analytic and other tools including Capital IQ, Monitor Suite, Hoover's, Tikit and Microsoft Office, with an exceptional ability to mine and analyze large amounts of research information, and synthesize and consolidate the information into concise, meaningful and actionable reports and recommendations.
This position requires a high attention to detail and the ability to balance and prioritize projects while maintain a professional appearance and attitude. Must have excellent client service, communication and organizational skills. Must be able to move projects forward independently, yet also be able to work collaboratively with lawyers, staff and the business development team. Must possess the ability to gather information from multiple sources, problem-solve and demonstrate good judgment.
